Job costing is the practice of collecting every cost a specific job consumed — loaded labor, materials, rentals, subcontractors, permits and any overhead your method allocates — and comparing that total against what the job billed.

Why Margin Variance Matters

Dollars of cost variance tell you how far off the estimate was. Margin variance tells you what that miss did to the profitability of the job as a share of its revenue, which is the figure that scales across a year of work.

One job's variance is an anecdote. A pattern across ten jobs is information. It is a tool that places the estimated cost of an electrical job next to what the job actually cost, then reports the difference in dollars and in margin. It uses only the figures you enter — there are no hidden assumptions, industry averages or recommended targets built into it.

Subtract total job cost from job revenue. Total job cost is loaded labor plus materials, equipment and rentals, subcontractors, permits and job-specific fees, and any overhead your method allocates to the job. Profit = Revenue − Total Cost.

Divide actual profit by actual revenue. A job that produced $2,000 of profit on $10,000 of revenue finished at a 20% margin. Margin is always measured against revenue, not against cost.

Cost variance is actual total cost minus estimated total cost. A positive number means the job cost more than estimated. A negative number means it cost less. The same subtraction applied category by category shows where the difference came from.

Margin variance is actual margin minus estimated margin, expressed in percentage points. A job estimated at a 30% margin that finished at 20% has a margin variance of −10 percentage points. Percentage points avoid the ambiguity of describing that gap as a percentage change.

It depends on your method. If overhead recovery is already built into your loaded labor rate, adding it again as a separate job cost double-counts it. Either allocate overhead explicitly and keep it out of the labor figure, or leave the overhead field blank and evaluate overhead at the company level.

Callback labor, materials and travel are real costs of the job that produced them. When they are left out, a job appears to have finished stronger than it did, and the estimating assumptions behind it never get corrected. Adding callback costs to the actual side keeps the comparison honest.
